Ensuring a work schedule adheres to compliance requirements is crucial to prevent overworking employees. This involves providing sufficient rest periods, limiting consecutive workdays, and preventing excessive daily shifts. Managing these compliance rules can be challenging, as it's easy to inadvertently schedule an employee too early or for too many consecutive days, resulting in a non-compliant schedule.Soon offers a solution to this complexity with its Auto-Scheduler feature, which introduces three new constraints designed to maintain schedule compliance: Maximum Consecutive Days: This constraint ensures an employee does not work beyond the allowed number of consecutive days. Soon guarantees that after a set sequence of workdays, an employee will have at least one full day off.Minimum Rest Time Between Shifts: To prevent scheduling issues such as assigning an evening shift followed by an early morning shift the next day, this constraint ensures a minimum rest period between two shifts for an employee.Maximum Events Per Day: For schedules involving multiple shifts in a day, this constraint is crucial to limit the number of shifts an employee can work, ensuring no one exceeds the set maximum. By leveraging these constraints, Soon's Auto-Scheduler enables planners to create compliant schedules effortlessly, removing the complexity of manually ensuring adherence to these important rules.Starting today, teams subscribed a Business or Enterprise plan can access these new scheduling constraints. Enhancements for Remote Work Team Visibility

For teams that primarily operate remotely or from home, it's beneficial to utilize the "WFH" checkbox. However, when viewing the team's board, the abundance of house 🏠 icons next to user names can be distracting if remote work is the default mode. In such cases, it might be more practical to display an icon indicating who is working from the office instead. This icon can be incorporated as part of the options for customizing what is shown or hidden on the event modal. These are the proposed changes:Show/hide House iconShow/hide Office icon (a new addition). This option should be turned off by default to prevent all individuals without the WFH checkbox from having this icon (which is the case for most teams), as it could lead to a similar issue but in reverse.Additionally, another enhancement could be to group people on the event modal based on their location. This can be implemented by grouping individuals with the same icon together:🏠 : name1, name2 🏒 : name3, name4

Event Availability Setting (Free/Busy)

With the Event Availability Setting, we are giving you more control over how your events appear in synced calendars like Outlook and Google. By default, all events in Soon are set to "busy," aligned with the activity types. However, based on valuable feedback from our users, we have developed a customizable option. Soon administrators will soon have the ability to change the event status to "free" to accommodate specific use cases where it is more suitable for events synced from Soon to be displayed as "free" in Outlook/Google Calendar.This new setting ensures that when your events are synchronized with Outlook and/or Google Calendar, they accurately reflect your desired availability. While events will continue to be set as "busy" by default, this customization will empower you to show them as "free" in the connected calendar whenever needed.

The self-scheduling activities feature allows users to make edits to their intraday schedules. To provide better control and oversight, an approval flow is introduced. This feature enables admins to review and approve or reject any changes made by users when self-scheduling is enabled. Additionally, a change request functionality is implemented to streamline the process and facilitate clear communication between users and admins (similar to cover, swap and cancel change requests). Implementation Details:Self-Scheduling Settings: A new setting is introduced to allow customization of self-scheduling activities:a. Self-Scheduling Activities without Approval: Users can freely make edits to their schedules without requiring admin approval.b. Self-Scheduling Activities with Approval: Edits made by users require admin approval before they are applied to the schedule.Requesting Changes: Instead of saving updates, users will see a "Request Changes" button after updating activities in the My Schedule event details and Workload details view. Clicking this button triggers a change request modal, allowing users to finalize and send their request.Admin Review: In the board event details, admins can access the change modal and activities tab. A before-and-after comparison is displayed, showing the original version alongside the proposed changes.Conversation and Overview: The sent version of the change request includes a conversation tab and an information section with an overview of the modifications made. This facilitates clear communication and understanding.Workload Details: The Workload details section also shows a before-and-after view, providing admins with a comprehensive understanding of the impact of the requested changes.Handling Changes: If the original request or activities change while the change request is still pending, the pending request becomes invalid, and the sender is notified. Additionally, pending requests can expire if the activity time for the updated version is reached before approval.Managing Request Status: All consequences related to request status changes and pending requests are carefully considered to ensure a smooth workflow and effective communication.By providing the option to choose between self-scheduling activities without approval or with approval, users can customize their experience while admins can maintain the desired level of control and oversight. Recurring Required Activity Values

The feature request is for Soon to allow users to set recurring required activity values for specific days of the week, while still maintaining the ability to adjust required activity staffing for specific dates as currently possible. With this feature, users can select a day (e.g., every Monday), set the required activity values for that day, and have the system automatically apply those values every week. To ensure that past values remain untouched, the system will prompt users to adjust all days when an update is made, only for future days, or just the current day.This way, users can easily make adjustments without worrying about accidentally overwriting past data. This feature will improve the efficiency of setting required activity values for recurring days, while preserving the accuracy and integrity of past data.

Adding a Feature to Restrict Admins from Viewing Leave Requests of Others

I would like to suggest a feature that would enable Soon users to restrict certain admin users from accessing the leave requests of other team members. Currently, all admin users can view the leave requests of all team members, regardless of their role or responsibilities. To address this issue, I propose implementing a new and similar "Private mode" setting specifically for non-leave manager admin users. This feature would allow team members to keep their leave requests private and prevent non-leave manager admin users from accessing them. Additionally, for admin users who are leave managers, it would be helpful to have the ability to set which users they can see leave requests for. This could be accomplished by allowing leave managers to view leave requests for all users (current setup) or only for their assigned user groups (new). Overall, these features would enhance Soon's privacy and security measures by providing more control over who can view leave requests

Ability to Rearrange Boards

Currently, there is no way to rearrange boards once they have been created in Soon. This can be inconvenient for users who have created multiple boards out of order and would like to rearrange them to improve organization and efficiency. Additionally, some users may find it helpful to have the ability to star certain boards or view recently viewed boards for quick access. We propose implementing a feature that allows users to rearrange their boards as needed, whether by enabling users to click and drag the boards to reorder them, adding an option to a board's settings to change its position in the list of boards, or through another solution. Additionally, implementing features such as starring boards or showing recently viewed boards could also provide valuable organizational tools for Soon users.Providing these functionalities would allow users to more easily organize and access their boards, improving their workflow and overall experience with Soon. We appreciate your consideration of this feature request and would be happy to provide further details or clarification as needed.
